Privacy policy

DuesLetter ("we") provides preparation of annual dues statements, payment tracking and owner reminders for homeowners associations. This policy explains what we collect and why.

What we collect

• Owner list details you send: lot or unit, owner name, email, mailing address and balance.
• Payment records you forward (date, lot, amount).
• Your name, email address and the messages you send us.

What we never ask for

• Bank account or card numbers of owners.
• Social Security numbers.

How we use it

Only to provide the service you asked for, answer you, and bill you. We don't sell or rent your information and we don't use it for advertising.

Automated processing

Our service is automated. Software reads your files and prepares reports and drafts; unclear items are flagged for review.

Retention and deletion

Files from a free sample are deleted within 30 days. Customer files are kept while you're a customer and deleted within 30 days after you cancel, or sooner if you ask. Email [email protected] to get a copy of your data or have it deleted.

Service providers

We use an email provider, a website host and a payment processor (cards are handled by the processor; we never see full card numbers).

Security

Files are stored on access-controlled systems. Please don't email bank account numbers or full Social Security numbers.

Children

DuesLetter is for organizations and adults. We don't knowingly collect information from children.
